- Interfaced Appointments Enabled Parameter A system (MO wide) defined parameter for enabling and disabling the interfaced system for fulfilling automated Appointment requests from MDOL to the MO's PPMS system via internet. The default value for this parameter is "Disabled”. Only the MOM can change the value of this flag from Disable to Enable and back. Changes to the value of this parameter are effective only for future actions and are not retroactive.
- Maximum number of Interfaced Appointment Retries This parameter indicates "Number of retries an interfaced appointment should be attempted before the appointment request is automatically switched to a non-interfaced appointment request message". The default value for this parameter is 3 and can be customized by the MOM/MLM.
- Table of Appointment codes and their Descriptions This parameter table maps Appointment Descriptions to Appointment Codes. Only MOM can alter this table (add, delete and update). The default mode provided by MDOL is to allow the MOM to customize this table (i.e. the table is Unlocked). These codes are not expected to change often and MLMs should not alter this table. MDOL will provide a default set of Appointment codes.
- Table 2 is a sample set of Appointment Codes and Descriptions. Note: hi Table 2, the Appointment code can be up to 6 chars alphanumeric. Appointment Description is a text field up to 50 chars in length. There can be any number of Appointment codes in this table.
- This table is maintained by the MLM in order to provide more meaningful choices for the patients in selecting the Appointment Descriptions.
- Duration MDOL application waits for response from PPMS: The default value for this parameter is 60 seconds.

Patient selects preferred 3 days, and makes AM/PM selections. b. Display [Message #5 in Table 4 (Table of Appointment module messages)]. c. Patient receives [Message # 2 in Table 4 (Table of Appointment module messages)]. d. MDOL routes the appointment message to the MLU, based on MDOL security, routing and privileging criteria. e. Demographic and insurance information is attached to the message.
- MLU Transaction Flow for Response to Patient: a. MLU receives appointment request from personal inbox or common tray. b. If the Patient has authorized delivery of their Medical History Form, then the MLU is given the option to view and/or print the patient's Medical History Form; otherwise, a message is displayed that indicates that the patient has not authorized the release of their personal Medical History Form. c. MLU attempts to book the appointment in the MO's PPM (manual or automated) - Note: This is a non-MDOL step which is noted here only for process clarification. d. Accept an entry from the MLU that indicates whether or not an appointment was successfully booked. e. If an appointment was successfully booked, then the MLU creates a response to the patient, as follows: i.
- Interfaced appointments a. Patient receives [Message number 1 in Table 4 (Table of Appointment module messages)]. Display hourglass to show request is in progress. b. At this point, MDOL communicates to the PPMS system via the automated interface. MDOL requests the Schedule of available time slots for the selected Provider, and a list of the Insurance Plans for this patient. c. The automated PPMS interface always returns two (2) months, or less of the Schedule of available time slots for the selected Provider. d. MDOL checks for the elapse of parameter 'd' while waiting for response from the PPMS system.
- MDOL will Display Message #9 and proceed to the Non-interfaced path (before the "Patient identifies Appointment date/time preferences" since none has been specified). e. MDOL will display the Schedule of available time slots and the Insurance Payer list. f. The Patient will identify the requested schedule and their Insurance Payer. g. At this point, MDOL communicates to the PPMS system again using the automated interface. MDOL submits the requested appointment. h. MDOL will check for the elapse of parameter 'd' while waiting for response from the PPMS system.
- MDOL will Display Message #9 and proceed to the Non-interfaced path (after the "Patient identifies Appointment date/time preferences" since date/time has already been specified). i. If the appointment request was successful, MDOL will send Confirmation Message #4 from Table 4 and end. j. If the appointment was unsuccessful, MDOL does several things: i. Create an entry in the Audit trail to indicate the Appointment request to the PPMS was not successful. This will help with Appointments usage report and indicates which Patient Appointment requests failed. ii. Present [Message #3 from Table 4] iii. Check to see if the parameter "Max number of Interfaced Appomtment Retries" has been exceeded. If yes, then end. iv. MDOL offers the Patient the opportunity to try another Appointment. If No, then end. If Yes, then restart at step "a" above.
- Appomtment Scheduling Permissions Table An important features of the appointment module is the previously described Appointment Scheduling Permissions table.

Examples of Medical Library categories are: Diabetes, Heart condition, Other, etc. New categories can be added to Broadcast Messages via MDOL Maintenance screens. The Title of the message is assigned by the user when the message is created.
- the message content component (Table 5) of Broadcast messages can include: a. Free form text b. Link to other content within MyDoc Online c. Link to external web site(s) d. File attachments that have PDF, RTF or Text formats
- the Patient may "opt-in" for Broadcast Messaging in the patient profile during registration.
- the patient registration form includes the following message and choice:
- All Medical Location user (MLU)s that are part of the Broadcast Message user group can perform the following functions: a. Create a new Broadcast Message b. Review saved Broadcast Messages c. Alter a saved Broadcast Message d. Send a Broadcast Message e. View History of individual (selected) messages sent f. View History of all messages sent
- a message id (like DB001 — first message in the diabetes category) is given to it.
- a version number is also to be provided to the message.
- the first message id maybe DBOOl.l.
- the author of the message selects to edit this message and then changes the contents and saves it, the successive version number is assigned to it, such as DB001.2.
- the stored message list shows the latest version of the message.
- New Broadcast Message vs. New Version of an existing Broadcast Message
- a stored message When a stored message is edited, it can be saved two ways. a. When the message to be edited is selected, the Message content is populated in the appropriate boxes. In the "Save As" box, the Message title will be populated. If the message is saved with the same title, then a new version number is generated. For example: If DB001.1 is saved with the same title, the message id for the new Broadcast message becomes DB001.2. b. If the message is saved with a different title, a new message id is generated.
- Dr. Malone If Dr. Malone saves this message with the same title, such as "Diabetes Prevention,” then the message id becomes DBOOl .3. Alternatively, if Dr. Malone saves it with a new title, such as "Diabetes Alert,” then the message id will become DB002.1.
- a Medical Location User (MLU) of one location can see all the messages sent by the other users of the same location.
- the Medical Organization Managers can see all the messages from all the Medical Locations.
- the messages displayed in the stored message list can be sorted in either of the following ways: a. Date message was sent b. Title of the messages c. Medical Location (This could have multiple values, if the Medical Organization Manager is viewing the screen. For Medical Location Users, they will only see their medical location.) d. Sender's name
- HTML layer shows the first 2/3 lines of the message.
- the health criteria drop-down boxes has generic health criteria, in addition to all the specialty specific health criteria based on the specialties available in a particular Medical Location.
- the selected Medical Location is Anderson Mill and this location has two specialties, such as: a. Family Practice (health criteria of Family Practice are, for example, criteria 1, criteria 2) b. Pediatrics (health criteria of Pediatrics are, for example, criteria 3, criteria 4).
- Family Practice health criteria of Family Practice are, for example, criteria 1, criteria 2
- Pediatrics health criteria of Pediatrics are, for example, criteria 3, criteria 4.
- Screen 1 Broadcast Message Selector: a. Create New Broadcast Message is a link to Screen 2. b. On hover for option icons show (in order) Edit, Send, History, Remove. c. On click for "Edit” goes to screen 3. d. "Send” goes to screen 4. e. "History” goes to screen 6B. This screen shows history for an individual message. f. "Remove” deletes message from coming up on list again. g. Review Sent Message History goes to screen 6A.
- Screen 2 Create New Broadcast Message: a. When a user selects to "Create a New Message” they select the category that they would like the message saved under. b. When a user selects "Cancel”, “Create Another”, or “Select Recipients”, prompt for saving message if user hasn't saved. c. "Create Another” takes user back to a blank Screen 2 -"Create New Broadcast Message”. d. "Select Recipients" goes to Screen 4.
- Screen 3A Edit Broadcast Message: a. This screen is the first screen of "Edit Broadcast Message”. If the user selects to Change Attached File then the user will see screen 3B which checks the remove box and then shows the input file box with the browse button. b. When a user selects "Cancel”, “Edit Another”, or “Select Recipients”, prompt for saving message if the user has made any modifications to the message or the attachments. c. The “Select Recipients” button should only show if the message has been saved. d. "Edit Another” sends user back to the Screen 1 - Broadcast Message Selector Screen. e. "Select Recipients" goes to Screen 4.
- Screen 3B of Edit Broadcast Message a. On click of "Change Attachment”, show “Change Attached File” with file input box. b. Change unchecked "Remove” box to checked. c. When a user selects “Cancel”, “Edit Another”, or “Select Recipients”, prompt for saving message if the user has made any modifications to the message or the attachments. d. The “Select Recipients" button only shows if the message has been saved. e. "Edit Another” sends user back to the Screen 1 - Broadcast Message Selector Screen. f. "Select Recipients" goes to Screen 4.
- Screen 4 Select Message Recipients: a. Broadcast message title is a hyperlink to view the message in Edit mode (screen 3A). b. Selecting "Individual Recipients” goes to screen 5A. c. Selecting "Recipients Based on Patient Population Criteria” goes to screen 5B. d. Selecting "Review Sent Message History” goes to screen 6A- Review History Screen .
- Screen 5A Send Message to Individual Recipients: a. Broadcast message title is a hyperlink to view the message in Edit mode (screen 3A). b. Provider list has an "All" option with ability to multi-select. c. MOM has additional option to select location(s) for patient search selection. d. Both search selections populate the "Search Results" area and then allows the user to move one/multi-select/or all over to Recipients list. On message send, duplicate messages are not allowed to be sent to the same unique user (in case sender selects name twice by accident). e. On click for "Send Message" provide prompt for confirmation.
- Screen 5B Send Message to Patient Population: a. Show "Patient Count” displays the count of the result set of the selected criteria in a pop up message box. b. "Send Message” prompts user for confirmation to send. c. "Demographics” and “Health Criteria” selections come from patient records and specialty- specific health histories, respectively. d. "Health Criteria” are based on location specific specialties and is a combined list of generic and specialty specific criteria. e. "Health Criteria” has a “None” options that is the default on both dropdowns.
- Screen 6A Review Sent Message History Screen: a. Broadcast message title is a hyperlink to view the individual message history detail - screen 6B - that includes the date/time sent history, message body, recipients/criteria, and count. b. Sort Messages can be by Title, ID, Sender, Date/Time. c. MLM/MLU with privileges to send Broadcast Messages can see all messages sent from their location only. d. MOM has the additional ability to sort by location. e. MOM has the privilege to see all Broadcast Messages from all locations.
- Screen 6B Review Individual Sent Message History Screen: a. Can be assessed from Screen 1 and Screen 6A. b. Screen 6B shows in a pop-up window that contains detailed information regarding the message. c. Sort messages by most recent sent message first. d. If user hovers over "Version” or "Criteria/Recip.” Areas, then detail is shown in floating frame below table.
- Figs. 33 A and 33B taken together, show contents of user interface displays for allowing a medical provider to create different standardized response messages.
- a message response template is presented which allows the medical provider to customize text portions, time frames for response, and the preferred response communication method.
- the appointment request module of MyDoc Online allows each medical provider to customize the response text ["You will receive a response to your appointment request by ⁇ response communication method> within ⁇ response time parameter>.”].
- the customized data for each provider is stored in a table.
- the customized data may be stored in the MAT in the same manner as described above for other customized features.
- Similar response text may be customized for other MyDoc Online modules, such as billing, prescription refills, medical questions, and new and existing authorization requests.
- This response message feature of the present invention goes well beyond the limited capabilities of e-mail management systems which allow for the creation and automatic sending of canned messages.
- the response message feature allows different parts of an integrated application, here different modules of MyDoc Online, to be customized for each medical provider.
- e-mail communications from patients in each of the modules can be responded to in exactly the manner that a particular medical provider may prefer. As discussed above, this significantly reduces the currently prohibitive cost of customizing an online application for specific medical providers.
- the present invention may be implemented with any combination of hardware and software. If implemented as a computer-implemented apparatus, the present invention is implemented using means for performing all of the steps and functions described above.
